If an e-mail should to be sent to a requester when:
- A job request is created
- A job request is rejected
- A job is created for a job request
- A job linked to a job request is started
- Or a job linked to a job request is completed
You can create an e-mail template and link it to the job request template.
Create e-mail template
Email templates for job requests are created under Job Requests:
Click on "New Job Request E-mail Templates".
Here is an example of a generic email template that provides information about the status, job number, and any rejection, if applicable:
Tags can be found in the section below and in INEXTIA, just below the Message field when creating an email template.
Add e-mail request to job request
To determine where the email should be sent, it is necessary to request an email address in the job request template. This can be done by editing the job request template - see how here.
This is done by inserting the e-mail element:
Attach Email Template to Job Request Template
Click on the job request template to which the email template should be attached. Click "EDIT." Then click on the three dots in the "Job Request Email Templates" box and select "ADD ELEMENT."
Choose which e-mail template that should be used and when it should be used.
Save the template again.
Example
Here is an example where the general email template is attached, and the job has been rejected. The email sent to the requester would look as follows:
The title includes the job request number and status.
The e-mail begins with the job request number, followed by the status displayed again below.
Since no job was created and thus no "next date" was set, these fields are empty.
Below that, there is an explanation as to why the request was rejected.
At the bottom, there is a link to the job request in INEXTIA, followed by the data that the requester provided themselves.
Tags
A tag in the e-mail template tells INEXTIA to replace it with information from INEXTIA. The following tags can be used in job request email templates:
- %JobRequestNo% - Displays the number of the job request
- %Link% - Inserts a link to the job request in INEXTIA. Only usable for users with access
- %Status% - The status of the job request: New, Rejected, Job Created, Job Started, Job Completed
- %JobNo% - Job number, if a job is created from the job request
- %JobNextDate% - The next date for the job created from the job request
- %Fields% - All fields and their corresponding data from the job request (including email)
- %RejectRemark% - Reason for rejection, if the request was rejected
