This article will answer some of the frequently asked questions we receive.
How do I avoid creating multiple components with the same component number?
If you do not have a known number structure in INEXTIA, we recommend reusing the number from the parent component as a prefix in the component number. This makes the number unique and at the same time makes it easy to search for objects from the same starting point in the tree structure.

How do I avoid that no one notices a job?
As multiple jobs are created in INEXTIA, it can be hard to keep the general view. To avoid that, it is important to assign the jobs. Jobs can be assigned to teams and to specific people.
A job is assigned to a team or person by attaching a resource to it. To secure that no jobs are created without an attached resource, resource attachment should be required. This option can be found in Options -> Job -> Resource mandatory.

What is the difference between a floating and a fixed trigger?
When a calendar trigger is placed on a job, this can be a floating or fixed trigger.
Floating = The job's next due date (next date) is calculated by adding the trigger to the date when the job was last finalized.
Fixed = The job must be done at this schedule. The job's next due date is calculated by adding the trigger to the date the job should have been done.
Please note: Fixed should only be used if you know that the job will always be finalized on the trigger date, not earlier nor later. If this is not the case, the fixed trigger can confuse the user.
Example: If a job has a fixed trigger for the first day in every month, but the job is finalized on the last day of the month, the job will appear again the next day.
Which label printer should I use?
There is no requirement for your label printer other than it being able to print from Microsoft Word.

How do I export data from INEXTIA?
Data can be exported to Excel and PDF from the overview screens of e.g Component, Job, Item by clicking the “Export” button.
Data is exported as shown. This means that the columns that are shown in INEXTIA will be shown in the same order and width in the exported file.
What is the file size of the pictures captured with the INEXTIA app?
The easiest way to get an overview is by looking in the "File size" column on the document overview screen. If you have not added the column, it can be done from the column selector.
Can I receive an e-mail when the job is due?
One or more reminders can be added to the job. Each reminder defines when to send the reminder - This is done by specifying the number of days before or after the scheduled due date.
Receivers of the reminder is set by simply entering one or more e-mail addresses.
The content of the mail is controlled using a template.
How do I postpone a job?
Click on the menu button from the job list and then click “POSTPONE JOB”.
Next, pick the date which you would like the job to be postponed to and write a remark on why the job is postponed.
(You should consider replacing the remark with a mandatory reason for postponement to make it possible to measure why jobs are being postponed)
How do I create a supplier?
Suppliers are created in the address book.
What do I need an account for?
If an account is entered in the job history, reports in Analytics will show which accounts the maintenance costs are being distributed to.
What is component location?
A component location can be an area, a building or similar.
