Quality and data collection can be ensured when performing a job by attaching a form template to it. A form template can be attached to a job when creating it, or as in the example below where a form template is attached to a job that has already been created for a truck inspection:
Start by clicking “EDIT” on the job and then scroll to the Form Template section.
A form template can now be attached by clicking on the icon. You can now search for the form template. After choosing the form template, the section will look like this:
After attaching the form template, choose either Activation or Completion.
Choose the Activation function if you would like the user to fill out the form template as the first thing when wanting to start the job. This function is particularly suitable for jobs that use a checklist with tasks that must be performed before carrying out maintenance, like securing a hazardous area.
The Completion function ensures that the form template is filled out before finalizing the job. INEXTIA will demand filling out the form template if the user tried to finalize the job before filling it out.
If none of the functions are chosen, the form template is not required to be filled out when carrying out the job.
Forms on job history
When a form is filled out and the job is finalized, the form can be accessed from the job history screen. An overview of all attached forms for the job can be found here, including forms that are filled out prior to and after activating the job.
By clicking on the “Form no.”, the form will open, and the fields and responses will show. It is possible to reopen the form and correct the responses if they are wrong or have been unknown at the time when the form was filled out.
Forms
A log of all forms that has been or are currently being filled out can be accessed on the “Forms” page. Every form has a form template number, a status, a report date, a form template reference, and the username of the user that has opened it or filled it out.
If you want to find a specific form from a completed job, the most natural approach to finding it will be through the tree structure where the job's job history and the form can be accessed.
